Purpose

Ensure no-show reservations are handled consistently: revenue is captured where the rate plan allows, the room is released back to sellable inventory at the right moment, and OTA no-shows are reported so commission is not paid on unrealized stays.

Procedure β€” end of arrivals (23:00 or per house custom)

  1. Run the expected-arrivals report and identify reservations not checked in.
  2. Call the guest on the number on file. Log the attempt (time, outcome) on the reservation.
  3. Check for late-arrival notes, flight delays on group bookings, and duplicate bookings under a second name before treating it as a no-show.
  4. For flexible rates: release the room; charge per policy (usually first night) only if the rate terms allow it.
  5. For OTA prepaid bookings: mark the no-show in the extranet the same night β€” most OTAs waive commission only if reported within 24–48 hours.
  6. Note the no-show on the night audit summary so the morning shift can answer a guest who arrives claiming a late check-in.
